Setting Up a Video Course

The following instructions are provided to create a video course.  You'll see several additional fields that are optional to use based on your needs.  For more comprehensive information on each field, see the getting started section of the online help.  To create a video course, navigate to the administrators console.  Expand the navigation bar on the left of the screen.  Click Resources, then maintain learning resources.  Click the new button at the top of the main learning resources screen.  The Overview tab of the new learning resource will be displayed.  Select video based training from the type of resource drop-down.  Assign a title to the new learning resource.  The short description field is optional, but can be helpful in ensuring that users understand the purpose of the training.  Next, populate the time requirement field with the duration of time required to complete the course.  Use the resource status drop-down to indicate the status of the resource. This could be active in active or retired.  Users will only be able to access the course if the resource status is set to active.  Next, go to the media drop down and select video.  Use the provider drop-down to select the content provider.  Optionally check the allow multiple enrollments box.  This ensures that users can enroll in the course more than once.  For best practice, it's only recommended to check this box if users will be required to retake the course on a regular basis.  Next is the description tab.  Enter the long description of the course.  You might copy the text from the short description field on the Overview tab if necessary.  There are no required fields on the objectives tab.  However, you may want to enter any learning objectives here.  Click the details tab.  Assign a primary category or categories to the course.  You can also use this tab to designate achievements upon completion ratings, evaluations, and CEU credits if desired.  Use the owner Sub tab to populate the course owner field under the person column.  You must also populate the instructional designer or the content owner.  Both fields are not required, but one must be present. Optionally, enter any prerequisites for the course under the prerequisite sub-tab.  To upload a video to the learning resource, select the video tab.  Here you have a few options.  To upload a video from your computer, click the upload a video button.  These videos can be up to 500 megabytes in size.  The convert a file loaded by FTP option is for videos larger than 500 megabytes.  To link a video from another website such as YouTube or Vimeo, Click Link to a video.  In this example, we're going to link to a video.  Paste the link to the video and the paste link field.  And click the test link button.  Then click save. You'll see the thumbnail for the video appear on the screen.  Enter the title of the video and the title field.  The description field is optional, but can be helpful in ensuring that users understand the purpose of the video.  Both the title and description should match the title and short description.  From the Overview tab of the learning resource.  Set the videos playback size by clicking one of the icons in the video playback size field.  Under options you can set the scroll bar for Mark course complete after user views.  Slide the bar to the percentage of the video that must be watched in order for the user to receive credit for viewing.  Note that it is recommended that the scroll bar be set to less than 95% if the scroll bar is set to all.  This will require users to play the video to the end of its runtime in order to earn completion credit for the course.  Optionally check the autoplay box to have the video play automatically when a user attempts to view it.  Navigate to the audience tab.  There is a large amount of information pertaining to audience mapping for information on setting up the course's audience, see the using audiences section of the online help.  Please note that best practice is to leave the selections under the primary tab.  Modified. Next, click the notifications tab.  Check the enable box to enable notifications, then enter the course title in the subject field.  If the course is going to be required, open the required course notification tab.  Check the enable notification box.  Enter the subject in the notification subject field.  Enter the message that will be sent to the audience in the notification text field.  If desired, click the past due sub tab and check the Enable notification box to send a notification to the audience when the course is passed due.  Use the day's job to indicate the number of days after the course is due to send the message to the audience.  Use the subsequent reminders field drop-down menu to select the frequency of which you want additional reminders to be sent.  Check the carbon copy manager box if you wish the users manager to receive the notifications as well.  Lastly, populate the notification subject and text fields.  If the metadata tab is available to you, click the time description sub-tab.  In the field provided into, approximately how long it will take a user to complete the course in quarter hour increments.  For example, 15 minutes equals 0.25 hours.  When you're satisfied with all of your selections, click the save button in the top toolbar.  Return to the Overview tab and confirm that the course is set to active.  Then add the course to the course catalog.  See adding a course to the course catalog and the online help for instructions.
